Automations for a Seasonal Business: What Runs on Its Own When You Are Swamped
An automation is an action that happens on its own after a defined event. A booking comes in, a confirmation goes out. The morning before arrival comes, a reminder goes out. For a seasonal business this is not a luxury, because exactly in the weeks with the most customers you have the least time. You build the automations in the quiet months, so that at the peak of the season the fixed parts of the work run without you.
What automation means in plain words
An automation is built from two parts. A trigger and an action. A trigger is an event the system detects. A new booking came in. The date before arrival has come. A customer wrote to the business for the first time. The action is what happens right after the event, without anyone touching anything. A message went out. A task was opened. The calendar was updated. That is all. Not a robot and not magic. A simple rule you define once, and it runs from then on every time the event happens.
Almost all of us know this from the customer side. You booked a table at a restaurant and got an instant confirmation. You set an appointment and got a reminder the day before. The question in this article is what happens when you move to the other side of the counter. Which actions in your business repeat in exactly the same way every time. Every action like that is a candidate to run on its own.

Why a seasonal business needs this most
A seasonal business has a built-in problem. The load arrives exactly when there is no time to prepare for it. A restaurant in the peak weeks of summer. A shop in the days before the holidays. An attraction operator during the summer school break. A service provider whose calendar fills up a month ahead. In Eilat you can see it in the numbers. Hotel occupancy climbs from 66.4% in the first quarter of the year to 87.9% in the third quarter, as we detailed in the article Eilat tourism numbers. When demand jumps like that, every business around feels it in exactly those weeks.
The seasonal logic of automations works in both directions. In season they absorb the load. Confirmations, reminders and first replies go out on their own while you are busy with the customers in front of you. Off season, those exact same pipes keep the connection alive. A message to last year's customers before the next season goes out from the same system that collected their details in the summer. That is why you do the building in the quiet months. There is time to set up, try things and fix them, and in season everything already runs.
Seven automations any seasonal business can turn on
The table below gathers the automations we meet most often when working with seasonal businesses. The last two are built into the free WhatsApp Business app. The rest need a system that gathers your bookings or appointments in one place.
| The automation | What it does | When it saves you | What you need for it |
|---|---|---|---|
| Booking confirmation on WhatsApp | Every booking that comes in sends the customer an instant confirmation with the details | At the peak of the season, when there is no time to answer every customer checking that their booking went through | A booking system connected to WhatsApp |
| Reminder before arrival | Sends the customer a message a day or two before the appointment or the arrival | Cuts no-shows exactly in the days when every open slot is worth money | A system that knows when each customer is due to arrive |
| Review request after the visit | A day after the visit, a short message goes out with a link to write a review | In season your happiest customers pass through in the largest numbers, and that is the time to collect reviews | A record of the visit date and a fixed wording |
| Automatic team task | Opens a task for an employee on the right day. Cleaning before guests arrive, preparing equipment or counting stock | When you manage dozens of bookings a week, you cannot keep it all in your head | A management system the team actually opens |
| Weekly report | Sends you a fixed summary. Bookings, revenue and cancellations | In season there is no time to sit in front of screens. The report comes to you on its own | A system that gathers the data in one place |
| Automatic greeting message | Replies instantly to anyone writing to the business for the first time, or coming back after 14 days with no activity in the chat | In busy hours, when no hand is free for the phone, the customer gets a first reply right away | The free WhatsApp Business app |
| Away message | Replies automatically on a schedule you choose. Always, at custom hours, or outside the business hours in your profile | At the end of a long work day the messages keep coming. The customer gets an answer and knows when you will get back to them | One setting in the WhatsApp Business app |
Automatic reminders work, and it has been measured
The automation with the strongest evidence is the reminder. A systematic review published in the journal BMJ Open gathered studies on digital reminders for patients and found that people who got a reminder were 23% more likely to show up, and their no-show rate was 25% lower. The review also found that several reminders work better than a single one.
Individual studies show even sharper drops, around 38% fewer no-shows after turning on automatic reminders. These numbers were measured in clinics abroad, not in businesses in Israel, but the mechanism is identical. People do not skip on purpose. They forget. A reminder on the right day fixes exactly that, and in season, when every open slot is worth money, the difference shows right away.
What the law requires from automated messages
Here we need to stop for a moment, because there is a common misunderstanding around automations. The fact that a message was sent automatically does not exempt you from the spam law. The opposite. Section 30A of the Communications Law was written from the start about automated channels, like automatic dialing systems, electronic messages and text messages, and Israeli legal guides apply it to WhatsApp too. An advertising message requires explicit consent from the recipient in advance. Whoever sends without consent is exposed to compensation of up to 1,000 shekels per message, without the recipient having to prove damage.
The good news is that most of the automations in the table above are not advertising messages at all. A booking confirmation, a reminder before arrival or a service update are operational messages the customer expects to receive. The message becomes advertising when it offers to buy something. An end of season message with a deal for returning customers is marketing in every sense, and it requires consent collected in advance, or meeting the terms of the existing customer exception. The practical rule is simple. Operational automations you turn on quietly. Marketing automations you build only on a list that gave consent.
What changed in the Google Business Profile
Old guides on small business automation still recommend setting up automatic replies in the chat of your Google Business Profile. That advice is no longer relevant. Google shut down the chat in the Business Profile on July 31, 2024, including the automatic answers to common questions. The profile still shows a phone number, a website and photos, and for eligible accounts also a link for sending a WhatsApp message. But automatic replies inside the profile no longer exist. If you want the conversation with the customer to start automatically, today you route it to WhatsApp or to the business website.
What you do not automate
Good automation also knows when to stop. A customer complaint is not a trigger for a template. An angry customer who gets a generic answer gets twice as angry. The same goes for a last minute cancellation, an unusual request, and any conversation where the customer needs to feel that someone actually read what they wrote. Those messages you write by hand, even at the peak of the season. Precisely because everything else runs on its own, you have time for that.
The marketing message of the season is also worth writing yourself. The system knows who to send it to and when. The words themselves are written by the person who knows the customers. One personal message written in ten minutes works better than any generic template. The automation is the pipe. Not the voice.
What it looks like when everything is connected to one system
The truly strong automations do not live in a single app, but in a system that gathers the whole business. In the systems we build, the booking is the central trigger. The moment it comes in, a WhatsApp confirmation goes out to the customer. A task opens for the team on the right day. The calendar updates, and the weekly report already knows to count it. That is how it works, for example, at Villa Vibes, which manages vacation villas. The booking is entered once and everything else follows from it, with no double typing.
If you are starting from zero, the right order is first a system that gathers the bookings, and only then the automations that run on top of it. How to choose such a system, we covered in the article on a booking system for attractions. How the list collected in season turns into returning customers, we covered in the article on a WhatsApp customer club. And if you want to see how a system like this gets built around your business, that is exactly what we do on the app and system development page.

Frequently asked questions
An action that happens on its own after a defined event. A booking comes in, a confirmation goes out. The day before the appointment arrives, a reminder goes out. You do not need technical knowledge to start. The greeting message and the away message in the WhatsApp Business app are automations in every sense, and they are set up in a few minutes for free.
With the built-in tools in the WhatsApp Business app. A greeting message that answers a new customer, and an away message that replies outside business hours. The next step is automatic booking confirmations and reminders, and that already requires a system that gathers the bookings in one place.
It depends what you send. An operational message, like a booking confirmation or a reminder, is usually not an advertising message and does not require consent under the spam law. A message that offers to buy something is advertising even if it was sent automatically, and it requires explicit consent in advance. Sending without consent exposes you to compensation of up to 1,000 shekels per message.
Yes, and it is one of the most measured things in the field. A systematic review of international studies found a 23% rise in attendance and a 25% drop in no-shows among people who got a digital reminder. Individual studies measured even sharper drops. The numbers were measured mostly in clinics, but the mechanism of forgetting and reminding is the same in any business that works with appointments or bookings.
In the quiet months. An automation needs a few weeks of running to make sure the messages go out at the right time with the right wording. Whoever starts building at the peak of the season fixes glitches in front of real customers. Whoever built calmly enters the season with a system that has already proven itself.
Not if you keep the right split. Automation takes what repeats in exactly the same way. Confirmations, reminders and reports. The human moments stay in your hands. Complaints, unusual requests and the personal message of the season. Precisely because the routine runs on its own, there is time left for what should stay personal.
